New Business Intake and Conflicts Specialist - Hartford, CT or Parsippany, NJ

REPORTS TO: Senior Finance Manager

New Business Intake and Conflicts Specialist is responsible for reviewing all new business that is generated firm-wide in support of the firm's risk management need.  The position is responsible for performing thorough and accurate conflict of interest searches on all new business and lateral attorney hiring. Along with conflicts of interest checks, the NBI and Conflicts Specialist is responsible for understanding and performing all NBI and Matter Maintenance functions.


  • Skilled use of logic to generate name searches for file opening
  • Monitor and maintain the Conflicts Inbox and Helpline
  • Full knowledge of CELPC and Firm Policies and Procedures to ensure new clients and matters are appropriately compliant
  • Modify approval reviewer when a committee member is out of the office and log to switch back
  • Ability to organize for large projects (audits requests, Marketing requests)
  • Comprehend all aspects of the NBI program to assist LAA questions
  • Maintain Affiliation (AF) hits and relations for Ultimate Parent relationships in the financial system
  • Maintain system warnings
  • Setup ethical screens in 'InTapp' Wall Builder, including monthly notification to CELPC on on-compliant responders.
  • Understand Quicklook screen resource tools
  • WestLaw Client Research required for Processing NBI
  • Additional Matter Party Processing within NBI
  • Ensure Database integrity using department and Firm standards of input
  • Daily check of full-text indexer for errors or if a party from prior days does not appear in a search
  • Assist with data cleanup projects
  • Re-open matters reviewing conflict search and rate structure for approvals
  • Backup Matter Maintenance Specialist in all aspects of NBI and Matter Maintenance
  • Client and Matter Change Requests- Including but not limited to,  Attorney designations, billing address, contact, bill format, bill groups, rate set inquires and setup
  • Review all new client and matters in NBI including but not limited to rate verification, fee arrangement verification, bill group verification
  • Import of NBI clients and matters
  • After-hours Conflicts Searches


  • Bachelor's Degree
  • At least 2 years of relevant work experience in legal industry
  • Must be able to manage multiple priorities and complete tasks with minimal supervision
  • Knowledge of Microsoft Office products, including excel
  • Aderant Conflicts preferred but not required
