Tax / Trust Coordinator - Boston, MA


Under the general supervision of the Director of Trust & Tax Operations, the Tax/Trust Coordinator’s primary responsibilities will include the timely and  accurate maintenance of the fiduciary and personal tax return log and file system; provide timely payment of fiduciary & personal estimated tax payments; support the check processing functions of the Trust Department; play a significant role in Trust Account Profile (TAP) process; backup other Department functions such as trades, check deposits, and training.

Essential Duties and Responsibilities:

  • Organize and maintain accurate fiduciary and personal tax return records via an Excel database, with future migration to Firm Docket System.
  • Filing completed fiduciary and personal tax returns to IRS and appropriate states.
  • Process fiduciary tax preparation bills while working in conjunction with the firm's Billing Department.
  • Prepare and process tax estimates for upcoming tax year using fiduciary trust system.
  • Extensive filing and copying will be necessary to complete the above-mentioned tasks.
  • Significant backup to the check processing position will be required. Training of the check processing area to other ICD members will be required
  • Support the following areas within the Trust Department: TAP, fees, investment management interface, asset trading desk, check deposits, and billing.
  • Observes confidentiality of attorney-client relationship.

Position Requirements:

  • Applicant must have a solid grasp of the SEI Trust 3000 accounting system. Minimum three years experience.
  • Significant exposure within a trust department at a law firm or bank environment required. Minimum four years experience.
  • A strong working knowledge of Excel, Access or similar tracking database software required.
  • Familiarity with fiduciary taxes (Fed & State) filing deadlines, requirements, etc. strongly required.
  • Must possess confident personal computer skills and be comfortable working within a Windows environment. Proficient word processing skills also required. A solid grasp of Microsoft’s suite of products including Outlook and PowerPoint, also required. Knowledge of virtual filing and actual exposure to virtual filing would be terrific.
  • Ability to organize and to prioritize numerous tasks and complete them under time constraints will be necessary.
  • Work occasionally requires more than 35 hours per week to perform the essential duties of the position. Willingness to work extended hours during various hectic periods throughout the year. These hours would be paid overtime.
  • Interpersonal skills necessary in order to communicate and follow the instruction effectively from a diverse group of clients, attorneys and staff and to always provide information with courtesy and tact.
  • Operates office equipment, including copiers, .pdf scanners, and 10-key plus calculator required.
